1Information We Collect

We collect information to provide better services to all our users. The types of information we collect include:

A. Information You Provide

Personal Information:

Name, email address, company name, phone number, job title.

Team Data:

Meeting notes, summaries, task follow-ups, and team member inputs shared via the platform.

Support Communication:

When you reach out for support, we collect any additional information you choose to provide.

B. Information We Collect Automatically

Usage Data:

Log-in/out time, features used, pages visited.

Device Information:

Browser type, IP address, OS version.

Cookies and Tracking Technologies:

Used to enhance user experience and monitor performance.

C. Information from Third Parties

We may receive information from services you integrate with (e.g., calendar or collaboration tools), only to the extent necessary for core platform functionality.

Connected Account Identity:

When you connect a third-party account, we receive the identifying details of that account, such as the email address it is registered under, so we can show you which account a connection belongs to.

Connected Account Content:

We receive the data covered by the permissions you grant when you connect the account. For a connected Google Calendar this means the events on the calendars you select, including their titles, descriptions, times, and recurrence. See Section 4 for a full account of how Google data is used, stored, and deleted.

2How We Use Your Information

We use your data to:

• Deliver and improve the DailySync.AI service.
• Automatically generate meeting summaries and action items.
• Personalize and enhance user experience.
• Communicate service updates or respond to support requests.
• Monitor usage and prevent abuse.
• Comply with legal obligations.

3How We Share Your Information

We do not sell your personal data. However, we may share it in the following situations:

With Service Providers:

Vendors supporting hosting, analytics and product-usage measurement (e.g., Google Analytics and Microsoft Clarity), or customer service. These providers process website-usage data on our behalf as described in Section 4.

With Your Consent:

When you explicitly give us permission.

To Protect Rights & Comply with Law:

Including responding to legal requests and enforcing our Terms of Service.

Business Transfers:

In case of a merger, acquisition, or asset sale.

We do not sell data received from connected Google accounts, and we do not use it for advertising or to train AI models. Such data is not read by our staff except where you have given explicit consent, where it is necessary to investigate a security incident or suspected abuse, or where we are required to do so by law. Section 4 describes this in detail.

4Google Calendar and Google Account Data

DailySync.AI offers an optional Google Calendar integration. You are never required to use it. This section describes exactly what Google user data we access when you connect a Google account, why we access it, how we store it, who can see it, and how you can revoke access and have the data deleted.

A. Google Data We Access

When you connect a Google account, Google asks you to grant DailySync.AI the following permissions:

openid:

Confirms your identity with Google so the connection can be linked to your DailySync.AI account.

View your email address (userinfo.email):

The email address of the Google account you are connecting. We store it so that you can tell your connected accounts apart and so we can show which account a calendar came from.

View and edit events on your calendars (calendar.events):

Access to the events on the Google calendars you choose to connect. We use it to sync those events into DailySync.AI and to keep the synced copy up to date when the event changes in Google.

We request no other Google permissions. We do not access your Gmail, your Google Drive files, your contacts, or your Google account password.

B. Why We Need It

The DailySync.AI calendar shows your organization's schedule in one place, alongside attendance, leave, and shift information. The Google Calendar integration exists so that the meetings and events already on a connected Google calendar appear there too, instead of having to be entered a second time by hand. Your Google account email address identifies the connection and lets you manage several connected accounts.

C. What We Store and For How Long

The integration stores calendar data in the DailySync.AI database. It does not only read your Google calendar at the moment you look at a page. You should assume that any event on a calendar you connect is copied into our systems.

Synced Events:

For each event we store its title, description, start and end times, all-day flag, and recurrence rule, together with a record of which connected Google calendar it came from.

Connected Account Details:

The email address of the connected Google account and the identifier Google uses for it, so that we can distinguish one connection from another.

OAuth Tokens:

The access and refresh tokens Google issues so we can keep the calendar in sync without asking you to sign in again. Tokens are encrypted at rest using AES-256-GCM and are never sent to your browser or to any other client application.

We keep this data for as long as the Google account stays connected to your DailySync.AI organization. When a linked calendar is disconnected, the events that were synced from it are deleted and the stored credentials for that connection are removed. Backups made before deletion age out on our normal backup cycle.

D. Who Can See Synced Events

More than one Google account may be connected to a single DailySync.AI organization, and each person can connect their own. Each linked calendar is marked with one of two visibility scopes at the time it is connected:

Organization scope:

Events synced from this calendar are visible to everyone in your DailySync.AI organization, including their titles and descriptions.

Personal scope:

Events synced from this calendar are visible only to you.

This choice is the most consequential privacy decision in the integration. Connect a calendar at organization scope only if you are willing for its events to be readable by your whole organization. If you are not certain, connect it at personal scope.

E. How We Share Google Data

We do not sell Google user data, and we do not use it for advertising or to train AI models.

Within your DailySync.AI organization, synced events are shown according to the visibility scope described above. Outside your organization, Google user data is disclosed only to the infrastructure and hosting providers that operate DailySync.AI on our behalf, which are not permitted to use it for their own purposes. Google user data is not read by our staff except where you have given explicit consent, where it is necessary to investigate a security incident or suspected abuse, or where we are required to do so by law.

F. Limited Use

DailySync's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

G. Revoking Access and Deleting Your Data

You can withdraw access at any time. You do not need to contact us first.

Disconnect the Google account from within DailySync.AI, on the calendar integration settings screen. This stops further syncing and deletes the events that were synced from that account's calendars.

You may also revoke DailySync.AI's access directly from your Google Account at myaccount.google.com/permissions. Revoking access at Google stops any further syncing immediately. To also remove events that were already synced, disconnect the account in DailySync.AI or ask us to delete them.

If you would like us to confirm deletion, or you no longer have access to the DailySync.AI account that made the connection, contact us at support@dailysync.ai and we will action the request.

5Cookies, Analytics & Session Replay

DailySync.AI uses cookies and similar tracking technologies (including first- and third-party cookies) to:

• Maintain your session and login state.
• Track usage and improve features.
• Understand how visitors navigate and interact with our website using analytics and session-replay tools.

Google Analytics

We use Google Analytics to measure site traffic and understand which pages and features are most useful. Google Analytics uses cookies and collects information such as the pages you visit, approximate location, device and browser type, and IP address. You can opt out of Google Analytics across all websites by installing the Google Analytics Opt-out Browser Add-on.

Microsoft Clarity

We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products and services. Website usage data is captured using first- and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud and security purposes, and advertising. We use Microsoft Clarity in an anonymous-only configuration: we do not send Microsoft any identifier that personally identifies you, and Clarity applies its default masking to input values, numbers, and email addresses so that text you enter into forms is not captured in session recordings.

Your Consent and Choices

For visitors in the European Economic Area (EEA), the United Kingdom, and Switzerland, Microsoft Clarity operates under Consent Mode: it does not set cookies or collect cookie-based data (such as session recordings) unless and until valid consent is provided, and collects only limited cookieless data by default. For visitors elsewhere, by continuing to use our website you agree that we and our analytics providers (Google and Microsoft) may collect and use website-usage data as described above.

You can control or disable cookies at any time through your browser settings; disabling cookies may affect certain site functionality. You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on. 6Data Retention and Security

We retain your data as long as needed for legitimate business purposes or as required by law. We employ administrative and technical safeguards to protect your information, but no system is entirely secure.

7International Data Transfers

If you access DailySync.AI from outside our operating country, your data may be transferred and processed in a country with different data protection laws. We ensure appropriate safeguards are in place.

8Children’s Privacy

DailySync.AI is not intended for children under the age of 13. We do not knowingly collect personal information from children.

9Changes to This Privacy Policy

We may revise this Privacy Policy occasionally. Any changes will be posted on this page with an updated effective date. Continued use of the platform after changes means you accept the revised policy.
